Personal data, or personal information, means any information about an individual from which that person can be directly or indirectly identified. This privacy notice explains how we handle your personal data and how we keep it secure.
What personal data do we collect from you?
We have explained below the personal data we process about you, and why we process it. Sometimes, we will ask you for specific consent to process your personal data. In such circumstances we will explain at the time why we need to process it, and how we intend to use it. In other circumstances, our lawful basis for processing your personal data is set out below.
- Name and contact details. This includes your name, maiden name, last name, username or similar identifier, marital status, date of birth and your preferred title (e.g. Mr, Mrs, Miss, Ms.). It also includes your postal address, email address and telephone number. We use this information because we have a legal obligation to carry out client due diligence including identity verification; because we need to in order to perform our contract with you; or because it is in our legitimate interests.
- Personal data which we require in order to provide our services. If you are looking to buy a property we will collect information you provide to us, such as the type of property you are looking for, the location you are interested in, and any offers you make. We will also collect information about your current status, including whether you have a property to sell, whether you require a mortgage, and whether you are buying a property with someone else or on your own. We will collect information about you when we book viewings, such as the time of the viewing, and any feedback you give on properties you look at. We also need to collect information about any offers you make on a property which we will share with the seller. If you are looking to sell a property, we collect information about the property you are selling, including the address and the selling price. We will also take photographs of the property and obtain information so that we can market it. We use this information to provide our services under the contract we have with you. We may retain this data for the purpose of improving our services, in which case our lawful basis for carrying out such activities will be because it is in our legitimate interests.
- Identity verification data. We will collect certain information about you in order to confirm your identify and to prevent fraud. This includes documents such as your passport, driver’s licence, utility bills and national insurance number. We use this information to carry out the checks we are legally required to make when we onboard new clients. We also use the information for fraud prevention purposes. Our lawful basis for this type of processing is because it is a legal requirement, or because it is in our legitimate interests.
- Proof of funds. We will also need information from you about how you are funding your purchase. For example, through salary, savings, or the sale of another property. This might include a mortgage in principle, bank statements or similar documents. We use this information to carry out the checks we are legally required to make when we onboard new clients. Our lawful basis for this type of processing is because it is a legal requirement or because it is in our legitimate interests.
- Payment Data. This includes your bank account details, payment card details, and your billing address. This also includes information about payments you make to us, details of products and services you have purchased from us, and information about whether you have paid us / whether there are any outstanding payments due. We will use this information so that we can arrange payments to be made to you, or to handle any payments you may need to make to us. Sometimes we will also use this information to carry out anti-fraud checks. Our lawful basis for doing this is because we need to perform our contract with you, or in the case of anti-fraud checks, processing of payments, or following up on missed payments, because it is in our legitimate interests.
- Account Data. This includes your username and password, account security data; information about any purchases or orders made by you for services; and any information you provide to us when you set up or use your profile or account. This includes information you may post on any forums or blogs. Our lawful basis for using this data is either because it is in our legitimate interests or because we need to use it to perform our contract with you. Please be aware that information which you make public on the internet, including on any blog or forum, may be shared by others in a way which is outside of our control. Please do not post anything which you do not wish to be seen by others.
- Phone calls, complaints and queries. When you call us with a query, request or complaint, we will use your personal information to respond to the relevant issue. We may also record your phone call to help us train our staff and improve the way our staff respond to calls. We carry out this activity on the basis that it is in our legitimate interests, or because it is necessary for us to perform our contract with you.
- Feedback and survey responses. We collect personal data whenever you respond to surveys and requests for feedback. We use this personal data to understand what our clients’ preferences are, and to improve our services to our clients. When we have received positive feedback, we may use this to promote our services, including, for example, by including the feedback on our website. When we do so, we will not identify you unless you have given us permission. For these types of processing, our lawful basis is because it is in our legitimate interests.
- Website and related technical data. This includes personal data about your visit to our website and your behaviour when you interact with it. For example, we may monitor the pages that you click on, including the websites you visited immediately prior to, and immediately after, visiting our website (including the date and time of such visits). It may also include the time and duration of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page, as well as traffic data, location data, weblogs and other similar information. This type of data also includes your internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website. We use this personal information to administer our website, to measure the efficiency of our systems and to undertake an analysis on the locations from which people access our web pages. Our lawful basis for using information is because it is in our legitimate interests.
- Marketing data. This includes your preferences in receiving marketing messages from us, and from third parties in respect of whom you have given us permission to share your personal data. We sometimes also obtain data from third parties to help with our marketing, including from third parties who provide us with contact details of potential new clients. We use this information to carry out marketing to former, current and prospective clients. Our lawful basis for processing this personal data is because it is in our legitimate interests, or because you have provided your consent. - Anonymised data. We also collect, use and share anonymised personal data such as statistical or demographic data for any purpose. Anonymised data is personal data which has been processed so that an individual can no longer be identified from it. Once it has been anonymised it is no longer personal data, and is no longer protected by data protection law. This can be achieved in various ways including for example, by aggregating your personal data with data obtained from others.
We do not collect any “special categories” of personal data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.
What are the lawful bases for processing personal data?
Under Data Protection Legislation, we are required to have a valid lawful basis whenever we process your personal data. Our lawful basis for processing your personal data will normally be one of the following:
- Consent. Sometimes we may ask for your consent to process personal data. If so, we will explain at the time why we need your personal data and how we will us it.
- Performance of a contract. For example, we collect personal data from you so that we can advertise and market your property and provide our services to you.
- Complying with our legal or regulatory obligations. For example, this may involve a requirement to collect data so that we can carry out the customer due diligence that we are legally required to perform.
- Our legitimate interests or those of third parties. For example, we may use your personal data for internal business operations, such as reviewing customer service calls and emails for quality and training purposes; for recovering or handling unpaid debts; and for marketing purposes so that we can send you marketing materials.
We may share your personal data outside the UK
We may sometimes use third party suppliers based in different countries, including, for example, in the Philippines This includes, for example, suppliers that help us run our website; help us onboard you as a new client by gathering buyer and seller information; and help us provide customer support. This will only be permitted if: (1) the country has been found to have a decision of adequacy which means it has been deemed to have an adequate level of protection for personal data; (2) if the transfer of personal data is subject to standard contractual clauses between the transferor and the recipient, which have been approved by the UK Information Commissioner’s Office, and which mean that your data is protected by way of binding contractual commitments; or (3) if you have provided your consent. In each case, we’ll carry out an impact assessment to make sure your data is safe before it is transferred to any other country.
What are your rights?
Under data protection law, you have the following rights in relation to your personal data:
- The right to access personal data we hold about you, and receive information about how we process it;
- You can ask us to correct inaccurate or incomplete information which we may hold about you;
- You can ask us to restrict the processing of your personal data in certain circumstances. For example, if you dispute the accuracy of the data, or if you object to the processing;
- If we rely on consent to process your personal data, you have the right to withdraw consent at any time;
- The right to request that your personal data is erased – you can request that we erase your personal data subject to certain legal exceptions;
- If applicable, you have the right to receive your personal data in a structured, commonly used and machine readable format, and to have that data transmitted to another controller; and
- You have the right to object to us processing your personal data if we rely on legitimate interests as our legal basis. You may also object to processing for direct marketing purposes at any time, or in circumstances where a controller is making a decision about you using automated processes.

How long to we keep your personal data?
We hold your personal data for different periods depending on why we need it. For example, if you are included in our mailing list because you have asked us to let you know when properties you might be interested in are available, we will retain your personal data until you no longer wish to be included on our list. In other cases, if you have engaged us to help you find a property, we may retain your personal data for up to six years.

Anti-Money Laundering
In line with our obligations under the Money Laundering Regulations 2017, we are required to verify the identity of all clients and any individuals contributing funds (including giftors).
A fee of £60, including VAT per person, is charged to cover the cost of these checks.
This fee is payable prior to verification being carried out and is non-refundable once the process has commenced. Verification must be completed before a transaction can proceed to memorandum of sale and/or sales progression.
How we keep your personal information secure
We are committed to protecting your personal information. We take all reasonable precautions to make sure it is kept confidential and secure through use of appropriate organisational and technical measures. This includes make sure all our staff are trained on how to handle personal data, and only sharing it with third parties whom we trust. In addition, we always make sure we have a lawful basis for processing your personal data.
Changes to our privacy notice
We may update this privacy notice from time to time. Any changes we make to our privacy notice in the future will be posted on our website and, where appropriate, notified to you. Please check back frequently to see any updates or changes to our privacy notice.
What happens if I have a complaint?
If you have a complaint, we will always try our best to resolve the issue for you. In the first instance you should contact: [email protected]. Boardwalk's Local Supplier Policy
Boardwalk Property maintains a formal commitment to source from local, independent suppliers for at least 50% of non-labor expenses, specifically focused on Bristol and the Surrounding Areas. This commitment is documented in our supplier policy. By prioritising local suppliers, Boardwalk supports the Bristol economy, fosters relationships within the community, and minimises our environmental footprint through reduced transportation needs. We also have a policy utilised within our customer facing teams, to serve at least 75% local and independent clients or customers.
